Job description

Role overview

This full-time administrative role sits within the Athletics & Recreation department and reports to the Director of Athletics and Recreation. The position supports the day-to-day functioning and long-term coordination of the athletics program, with a focus on creating a strong educational and competitive experience for student-athletes. The assistant director also contributes to policy and budget discussions, serves on the Athletics Leadership Team, and may act as a game administrator when needed.

Key responsibilities

  • Act as the main point of contact for athletics-related questions and provide daily oversight of the department office.
  • Handle scheduling for athletic spaces, including practices, games, and rental use by internal and external groups.
  • Coordinate game-day operations, such as officials, staff coverage, student workers, ticketing, event setup, and team transportation needs.
  • Lead planning and execution of home football game operations as the site manager.
  • Build and manage systems for recruiting, training, scheduling, supervising, and reviewing student employees, including payroll documentation.
  • Support the organization of Landmark Conference and NCAA tournaments.
  • Oversee the onboarding and offboarding process for full-time and part-time staff.
  • Help plan and deliver special athletics events, including the Hall of Fame, golf tournament, and All-Athlete Banquet.
  • Serve as a liaison for administrative tasks such as purchase orders, invoices, deliveries, team meal funds, petty cash requests, and departmental supply orders.
  • Perform additional duties assigned by the Director of Athletics and Recreation.
  • Ensure compliance with NCAA Division III, Landmark Conference, and university policies and regulations.

Qualifications and experience

A bachelor’s degree is required, and a master’s degree is preferred. At least two years of experience in higher education or intercollegiate athletics is strongly preferred. The role calls for strong organization, excellent verbal and written communication, the ability to work with a broad range of campus and external stakeholders, and the judgment to handle confidential matters carefully. Candidates should be able to manage multiple priorities, work to firm deadlines, and contribute effectively in a team setting. Strong computer skills are needed, including comfort with databases, word processing, and spreadsheets. Experience with Oracle and Teamworks is an advantage. Equivalent combinations of education and experience may also be considered.
