Role Overview
The Airfreight Exports Operations Specialist position at DHL Global Forwarding in Dublin involves managing end-to-end airfreight export processes, ensuring compliance with company and regulatory guidelines, and maintaining exceptional customer service.
Core Responsibilities
- Handle all documents related to airfreight export operations following DHL Global Forwarding's standard procedures.
- Arrange pickup and delivery of shipments efficiently and reliably.
- Meet customer requirements by timely completion and verification of shipment documentation.
- Maintain proactive communication with customers regarding their shipments.
- End-to-end ownership of job files including monitoring and commercial activities.
- Open, invoice, and close files aligning with company, customer, and overseas regulations.
- Use DCT system for creating and confirming transport orders to ensure timely pickups and deliveries.
- Manage customer bookings and prepare, control, and distribute necessary export/import documents to carriers, suppliers, and consignees.
- Verify documentation accuracy against shipper and warehouse documents, including contract ratings, weights, and consignee data.
- Manage and report exceptions, coordinate with departments for resolutions.
- Ensure receipt of original Known Shipper declarations and compliance with security and regulatory certifications.
- Identify performance issues by raising Operations Irregularities and propose corrective actions.
- Log customer complaints via the GCCS tool, providing timely updates and resolutions within specified timeframes.
- Respond to network requests promptly and support customer service in incident and exception handling.
- Track shipments until proof of delivery and communicate any concerns to customers promptly.
- Monitor DAP and DDP shipments for billing accuracy and issue supplemental invoices if necessary.
- Adhere strictly to professional, positive, and respectful communication standards per company guidelines.
- Ensure compliance with customs regulations, air cargo security, IATA Dangerous Goods documentation, and all DHL operational standards.
- Maintain customer data accuracy through regular reviews and compliance with regional KPIs.
- Oversee accruals, rating, invoicing, and billing processes, including third-party billing and COD collections.
- Manage lease billing for Envirotainer/C-Safe containers and respond to queries related to CASS and MART reports timely.
- Assist with month-end closing procedures and departmental training.
- Build and sustain strong internal and external supplier relationships.
- Support operational process implementation and comply with Good Distribution Practice (GDP) standards for Life Sciences.
- Comply fully with all company policies, health, safety, environmental, quality, and data protection regulations.
Required Skills and Qualifications
- In-depth knowledge of Airfreight Export Operations.
- Proficient in Microsoft Office applications.
- Strong administrative and organizational abilities.
- Meticulous attention to detail with a results-focused mindset.
- Dangerous Goods (DG) certification is advantageous.
- Training in Envirotainer systems is a plus.
- Relevant logistics qualifications are desirable.
Work Schedule
The position requires working from Monday to Friday, between 9:00 AM and 5:30 PM.
