Role overview
The Admission and Discharge Officer oversees patient entry and exit workflows in a hospital setting, making sure the process is handled smoothly, accurately, and with professionalism. This position involves registering patients, checking insurance and financial details, working closely with clinical teams, and delivering strong customer service to support a positive patient experience.
Admission duties
- Greet patients and accompanying visitors in a polite and professional manner.
- Enter patient details correctly into the Hospital Information System (HIS).
- Confirm identity, demographic data, and insurance information for each patient.
- Collect, review, and process admission forms, consent documents, and other required paperwork.
- Coordinate with nursing staff and related departments to confirm bed availability and patient placement.
- Explain admission steps, hospital rules, and document requirements to patients and their families.
- Make sure insurance conditions are followed and approvals are secured when needed.
- Protect patient information and follow hospital confidentiality rules and regulations.
Discharge duties
- Work with nursing teams, physicians, and billing staff to manage patient discharge.
- Check that all discharge records and physician orders are complete.
- Ensure financial clearance and insurance approvals are in place before discharge.
- Prepare discharge paperwork and final billing documents.
- Share discharge guidance with patients and families and route them to the right departments if needed.
- Update records in the system and keep documentation accurate and current.
- Support a timely and well-organized discharge process to improve patient satisfaction.
Administrative duties
- Keep patient records complete, accurate, and up to date.
- Prepare reports on admissions, discharges, and patient-related statistics as required.
- Respond to patient questions and resolve concerns promptly.
- Follow hospital policies, accreditation requirements, and applicable regulations.
- Take part in department meetings, training programs, and quality improvement activities.
- Carry out additional tasks assigned by the supervisor.
Qualifications and experience
A bachelor’s degree in Hospital Administration, Healthcare Management, Business Administration, or a similar field is preferred. Candidates with a diploma and relevant experience may also be considered. The ideal applicant should have 2 to 3 years of experience in patient admissions, discharge services, or patient affairs in a hospital or healthcare environment. Experience using HIS platforms and insurance-related processes is an advantage.
