Role Overview
This one-year contract position as an Administrator for Property Management and Leasing involves delivering comprehensive administrative and operational assistance to support daily activities of both the Property Management and Leasing teams, ensuring efficient property operations and tenant services.
Duties and Responsibilities
- Support daily property management functions, including handling utility reports, invoices, service logs, and tenant documentation.
- Keep detailed and updated records of properties, tenants, and vendors with proper filing maintenance.
- Assist in preparing periodic operational and management reports.
- Manage tenant access control by issuing, updating, and monitoring access cards and associated records.
- Address leasing inquiries received via email, WhatsApp, and other platforms, qualifying leads and aiding Leasing Managers with property viewings.
- Prepare and distribute marketing materials and property listings to potential tenants and real estate agents.
- Help with due diligence processes and lease documentation preparation, processing, and management.
- Maintain an accurate lease database and relevant system records.
- Communicate and coordinate with tenants, vendors, service providers, and internal teams regarding administrative issues.
- Perform general administrative tasks related to property and leasing management, and support ad-hoc duties as assigned by supervisors.
Qualifications and Requirements
- Diploma in Business Administration, Property Management, Real Estate, or another related field.
- Between one and three years of administrative experience, ideally within property management, real estate, or similar sectors; fresh graduates are encouraged to apply.
- Proficiency in Microsoft Office suite, especially Excel, Word, and PowerPoint.
- Familiarity with Yardi or other property management software is advantageous.
- Strong organizational skills with the capacity to juggle multiple responsibilities under deadline pressures.
- Attention to detail and excellent record-keeping abilities.
- Effective communication and strong interpersonal skills.
- Ability to work autonomously as well as part of a team in a fast-moving environment.
