Role Overview
The Administrator in our Airport Operations department will provide thorough administrative support to coordinate daily departmental functions and ensure smooth operations. The role involves advanced use of computer applications and maintaining key databases and systems. Interaction with team members across departments is routine and straightforward.
Key Responsibilities
- Maintain compliance with quality standards, department procedures, and policies in all administrative tasks.
- Manage coordination of administrative materials, equipment, mail, and requests on a daily basis, supporting department activities and corporate events.
- Perform comprehensive administrative system support, including data entry, updates, maintenance of databases, and operation of in-house equipment.
- Record transactional data accurately, prepare reports, and manage data collation, analysis, archiving, and retrieval as needed.
- Handle and respond to customer and employee inquiries and transactions promptly, ensuring high service levels and obtaining information from relevant departments if necessary.
- Process corporate expense transactions, including auditing, reconciliation, and issuance of related documentation efficiently and accurately.
- Support the maintenance, issuance, and tracking of department supplies, fixtures, fittings, and facility usage to uphold safe operations.
- Additional duties may involve conducting briefings and training for new employees (grades 1-4), preparing and maintaining induction materials and equipment, proposing improvements, providing productivity analysis, task allocation, and updating team members on new procedures.
Qualifications and Requirements
- Completion of 12 years of schooling or equivalent with at least one year of administrative experience.
- Proven track record as an office administrator or assistant in a similar role.
- Excellent communication and interpersonal skills, coupled with strong organizational abilities.
- Familiarity with office management practices and basic administrative principles.
- Proficiency in Microsoft Office suite and office management software applications.
- Skillful at managing and analyzing data effectively.
