Orange County Utilities delivers water resources and solid waste recovery services to protect and improve the lives of residents and visitors in Orange County, Florida. Within this organization, the Fiscal and Operational Support Division handles financial management, accounting, information technology, procurement, warehouse and inventory management, facilities maintenance and management, safety administration, communications, and agreements management for the Director’s Office and all Utilities divisions.
The division is looking for an Administrative Specialist to provide day-to-day administrative and clerical support.
Job summary
This role supports the assigned division or section with a wide range of office and coordination tasks. The position involves regular interaction with internal county staff and external vendors, and the work is carried out under direct supervision. Performance is evaluated on accuracy, timeliness, and overall effectiveness.
Key duties
- Manage large volumes of incoming invoices and other mail in both electronic and paper form, including printing, timestamping, logging, and distributing items to the appropriate staff.
- Enter significant amounts of data into Maximo and CGI Advantage.
- Respond to vendor questions and use Maximo and CGI Advantage to research invoice issues and verify information when needed.
- Carry out routine clerical and front-desk tasks such as correspondence, answering and routing calls and emails, filing, scanning, completing standard county forms, and reviewing documents.
- Arrange meetings, reserve meeting rooms, and prepare agendas and minutes.
- Assist with human resources tasks such as scheduling interviews and checking references.
- Support purchasing and vendor-related activities, including researching items and reaching out to vendors.
- Maintain both digital and physical filing systems for the section.
- Order and restock office supplies as needed.
- Act as backup for other administrative staff within the division when required.
- Take part in emergency activities and response efforts.
- Complete other assigned duties as needed.
Minimum qualifications
Applicants should have a high school diploma or equivalent, along with at least two years of clerical or secretarial experience, or a comparable mix of education and relevant experience.
Preferred skills and experience
The county prefers candidates who can type at least 40 correct words per minute and who have experience using a PC and common office software such as word processing, spreadsheets, or presentation tools. Familiarity with Outlook, Excel, Word, Maximo, and Advantage is also preferred, along with basic knowledge of accounts payable, accounts receivable, or bookkeeping.
Schedule and location
This is a 40-hour-per-week onsite position based in Orlando, Florida. Working hours are Monday through Friday, 8:00 am to 5:00 pm. The office location is Orange County Utilities, Fiscal & Operational Support Division, 8100 Presidents Drive, Orlando, FL 32809.
Compensation and employment details
This is a non-exempt role in Pay Grade 010, with a salary range of $18.10 to $22.97 per hour. Placement will depend on education and experience.
