Role Overview
We are looking for an Administrative Specialist focused on the Prime Project team to serve as the principal administrative and operational support person. This position involves managing both physical and digital office spaces, arranging project reviews and meetings, assisting communications, coordinating travel and events, and guaranteeing that the team has the necessary resources and administrative assistance to function efficiently.
Key Responsibilities
- Oversee the physical office environment for the Prime team including office space management, relocations, and organization.
- Collaborate with IT for workstation setups, equipment procurement, onboarding, and office technology support.
- Manage procurement and distribution of office supplies, meeting materials, signage, and bulletin boards; monitor inventory and arrange replenishments.
- Support facility-related tasks and office enhancement projects.
- Maintain and update the Prime Confluence site and related collaboration platforms, publishing news, schedules, announcements, and ensuring all project documentation is current and accessible.
- Coordinate meetings and project reviews including scheduling, room reservations, catering, audiovisual support, and logistics; prepare agendas, materials, and tracking follow-ups.
- Arrange travel and logistics for project personnel; organize social and team-building events, employee recognition, onboarding, and act as liaison among project teams, leadership, facilities, and external stakeholders.
Required Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Minimum of two years in administrative support, office management, project coordination, or similar roles.
- Strong organizational abilities, multitasking, and planning skills.
- Excellent verbal, written, and interpersonal communication abilities.
- Experience coordinating meetings, events, calendars, and travel arrangements.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Background in managing shared information systems, collaboration tools, or intranets.
- Detail-oriented with capacity to prioritize multiple tasks independently with sound judgment and discretion handling sensitive data.
Preferred Experience
- Previous work in engineering, aerospace, defense, technology, or government programs.
- Familiarity administering Confluence or equivalent knowledge management platforms.
- Experience supporting executive meetings, project reviews, or client engagements.
- Background supporting office operations, facilities management, or employee engagement initiatives.
