Role Summary
The Administrative Specialist I/II will support the Benefits and Community Support Division by handling essential clerical and operational work for the Temporary Assistance for Needy Families (TANF) and Employment First (EF) case management teams. This role involves direct client interaction, data entry in the Colorado Benefits Management System (CBMS), report review, documentation handling, and support for compliance tracking. The position is suited to someone who is organized, detail-focused, and comfortable working in a fast-moving human services setting.
Key Duties
- Deliver day-to-day administrative, operational, and clerical assistance to TANF and Employment First case management staff.
- Serve as a main contact for clients and help them navigate their participation in the program.
- Enter information accurately and promptly into the Colorado Benefits Management System (CBMS).
- Examine state-generated reports to confirm data accuracy and ensure program compliance.
- Receive, verify, and track participant paperwork and other required documents.
- Keep compliance information current and maintain well-organized client records.
- Coordinate communication among clients, case managers, and other relevant parties.
- Help case managers prepare reports, monitor performance measures, and organize caseload information.
- Protect confidential client information and follow privacy and security requirements.
- Support report creation and data summaries used for program review and improvement.
Requirements
- Applicants must be 18 years of age or older.
- Administrative Specialist I requires at least 1 year of experience in a related field or comparable office administrative work.
- Administrative Specialist II requires either 1 year of experience as an Administrative Specialist I or 2 years of related experience or similar administrative duties.
- Strong organization and communication abilities are essential.
- Accuracy in data entry and comfort reviewing reports are required.
- Background in government or social service programs is preferred.
- Working knowledge of Microsoft Office Suite and database systems is needed.
- Good interpersonal skills are important for effective client and team interaction.
- Ability to manage sensitive information discreetly and professionally is required.
