Key Duties
- Deliver extensive administrative support to the CEO, HR Director, Operations Manager, and Payroll Administrator, including calendar management, meeting planning, travel coordination, document preparation, and communication handling.
- Maintain organized company documentation, shared digital folders, and internal record systems.
- Assist payroll activities by collecting, reviewing, and entering timesheets to support accurate payroll processing.
- Facilitate recruitment activities by posting job openings, coordinating interviews, managing candidate communications, and maintaining recruitment databases.
- Support onboarding processes such as documentation collection, orientation scheduling, and system setup for new hires.
- Prepare and contribute to HR, QHSE, and operational reports for internal and external audiences.
- Help administer and improve the Quality Management System and assist with internal and external audits including documentation preparation and follow-up coordination.
- Aid Operations Manager with document tracking, meeting arrangements, project records management, and client deliverable preparation.
- Support project staffing logistics and administration.
- Assist communication and marketing efforts by formatting newsletters, announcements, and updating recruitment marketing on social media and website platforms.
Candidate Profile
- Possess 3 to 5+ years of experience in administrative, HR, or operational support roles, preferably within small business settings.
- Exhibit strong organizational, multitasking, and prioritization capabilities.
- Demonstrate high attention to detail, self-motivation, and proactive work habits.
- Maintain professionalism, confidentiality, and discretion in handling sensitive information.
- Proficient with Microsoft Office Suite and experienced with database and digital recordkeeping tools.
- Possess excellent written and oral communication skills.
- Prior exposure to payroll or HR processes is advantageous.
- Basic knowledge of QHSE, quality management systems, or audit procedures is desirable.
- Ability to work autonomously and support multiple leaders across the organization efficiently.
