Role Summary

This is a full-time position based on site in Jeddah. The Administrative Officer will keep daily office activities running efficiently, take care of correspondence, organize records, prepare documents and reports, and provide scheduling and coordination support to managers and teams. The role also includes welcoming visitors, handling questions, following up on next steps, and working with both internal staff and outside contacts to keep operations moving smoothly. In addition, the position helps with office supplies and may assist with basic HR and finance-related administration while contributing to a polished, organized, and service-focused workplace.

Key Duties

  • Oversee routine administrative tasks and ensure office operations stay organized.
  • Manage incoming and outgoing correspondence and maintain accurate files and records.
  • Draft and format documents, reports, and other office materials as needed.
  • Assist management and team members with calendars, meetings, and follow-up actions.
  • Receive visitors, answer queries, and coordinate communication with internal and external stakeholders.
  • Monitor office supplies and help keep stock levels adequate.
  • Support basic administrative work related to HR and finance when required.

Qualifications and Requirements

  • Strong background in general administration and office support.
  • Very good communication skills along with a customer-service mindset.
  • Well-developed organizational ability and careful attention to detail.
  • Comfortable using MS Office tools such as Word, Excel, PowerPoint, and Outlook, or similar applications.
  • Ability to set priorities, manage time effectively, and work with limited supervision.
  • Prior experience in administrative or office support work is an advantage.
  • Minimum education requirement is a high school diploma; a diploma or degree in Business Administration or a related discipline is preferred.
  • Professional conduct, dependability, and discretion are essential.
