League One Volleyball is transforming the landscape of women's sports. Position Summary

This role as an Administrative Assistant within Team Business Operations and Sport offers high-level administrative and operational support to senior leaders, specifically the Vice President of Team Business Operations and the Chief of Sport. The successful candidate will be a key collaborator, enabling efficient priority management, cross-departmental coordination, and execution of league activities. Candidates must be detail-focused, proactive, able to handle multiple tasks in a dynamic setting, and embody excellent communication, judgment, and discretion.

Key Duties and Responsibilities

  • Deliver comprehensive executive assistance including calendar management, meeting scheduling, travel coordination, itinerary preparation, and expense processing for the Vice President and Chief of Sport.
  • Generate correspondence, presentations, reports, agendas, and other materials for executive use.
  • Track action items to ensure timely completion of initiatives and serve as a primary point of administrative contact for related operations.
  • Coordinate and monitor cross-functional projects, maintaining detailed project schedules, tracking progress, and collaborating with internal teams to achieve timely outcomes.
  • Support departmental planning, budgeting, and operational tasks as required.
  • Arrange and facilitate recurring meetings and committee sessions, including preparation of agendas, materials, minute-taking, documentation of decisions, and follow-up communication to ensure action items are addressed.
  • Assist in organizing league-wide events, workshops, and special meetings by managing logistics like registration, travel arrangements, vendor liaisons, venues, catering, and event materials, including on-site support and post-event reporting.
  • Maintain and update operational documentation such as manuals, playbooks, templates, policies, and shared resources to ensure organized and accessible information.
  • Help draft and distribute communications to clubs, team operators, and internal stakeholders while managing documentation and file organization within shared platforms.
  • Address inquiries from teams and internal departments, improve administrative processes, and support special projects as assigned.

Required Qualifications and Skills

  • Bachelor’s degree in Business Administration, Sports Management, or a related discipline.
  • Minimum of three years’ experience in executive-level administration, project coordination, operations, or sports management.
  • Proven capability in handling complex meeting arrangements, event planning, travel coordination, and multi-stakeholder projects.
  • Strong proficiency with Google Workspace, Microsoft Office, and project management software such as Asana, Monday.com, Smartsheet, or Airtable.
  • Exceptional organizational skills, ability to manage multiple priorities, and excellent attention to detail.
  • Effective written and oral communication skills combined with sound judgment, confidentiality, and the ability to work independently and collaboratively across teams.

Work Environment and Additional Information

This role operates in a fast-moving, dynamic startup or professional sports setting with frequently changing priorities. The position is fully remote and exempt. Candidates should be comfortable adapting to evolving demands and working collaboratively with cross-functional teams.
