Role Overview
The role of Administrative Assistant is a part-time, remote position designed to support the daily operations of Indigenous Energy Monitor effectively. Key duties involve managing calendars and scheduling meetings, organizing digital documents, and facilitating communication through email and telephonic correspondence. The position also requires preparation of basic reports, maintaining updated records, assisting with executive administrative functions, and coordinating logistics for online meetings or events. This role ensures smooth communication within the team and with external partners, guarantees timely responses to administrative needs, and fosters an efficient, well-structured workflow. The ideal candidate is professional, detail-focused, capable of independent work, and adept in virtual collaboration.
Qualifications
- Proven administrative and clerical skills including scheduling, document management, and accurate record keeping.
- Strong phone etiquette and effective communication skills to engage clearly and respectfully with varied stakeholders.
- Experience in executive administrative support, especially calendar management and meeting organization.
- Competency in office productivity software such as email platforms, digital calendars, spreadsheets, and cloud-based file management systems.
- Excellent organizational abilities, meticulous attention to detail, and the capacity to juggle multiple priorities simultaneously.
- Self-motivated to perform independently in a remote setup while maintaining confidentiality of sensitive information.
- An interest in or knowledge of Indigenous communities, and the energy or resource sectors is advantageous.
- Prior administrative or support experience along with relevant post-secondary education or training is preferred.
