Position overview
The University of Nevada, Las Vegas is hiring an Administrative Assistant IV for the School of Nursing. This role provides advanced administrative, scheduling, budgeting, records, and coordination support to department leadership, faculty, and search committees within the School of Nursing.
Key duties
This position supports chairs and school leadership with course scheduling, faculty assignments, reports, leave tracking, budget monitoring, travel coordination, onboarding, compliance tracking, and recruitment support. It also involves maintaining secure files, organizing evaluation processes, assisting with office and software requests, and handling reception and word-processing tasks.
Administrative and academic support
- Coordinate course times, days, and room requests with the university scheduling office and share semester schedules with faculty as directed.
- Help organize faculty teaching assignments and support scheduling, reporting, and evaluation finalization for school leadership.
- Compile statistics and prepare reports to help evaluate department operations and support decision-making.
- Track faculty teaching reassignments and maintain leave records during break weeks throughout the year.
- Support reception functions, appointment setting, data entry, and document preparation for department chairs.
Budget, travel, and records management
- Monitor department accounts and provide chairs with updates on available funds, orders, invoice payments, and account balances.
- Assist with trend review, historical data, and projections to support budget planning.
- Gather travel cost information, arrange transportation and lodging, manage travel allowances, and prepare reimbursement paperwork according to university policy.
- Track faculty travel funds through spreadsheets and records and report balances and usage with the Director of Finance.
- Maintain secure filing systems and archives needed for departmental documentation and assessment reporting.
Faculty, hiring, and compliance support
- Help with new faculty orientation and respond to faculty needs related to office equipment and software requests.
- Coordinate the hiring and onboarding process for part-time instructors as directed by leadership, including related financial tracking.
- Support monitoring of clinical compliance for teaching faculty and nursing staff and help ensure licenses remain current.
- Work with faculty researchers to obtain needed materials and track spending for certain accounts, including grants and awards.
- Organize faculty recruitment activities, distribute search announcements, collect applicant information, and support search committees.
