Role Summary
This position supports department and unit heads by ensuring smooth administrative operations across the bank. The work includes day-to-day facility coordination, mail handling, and broader office support that keeps services running efficiently.
Key Responsibilities
- Oversee administrative team activities and coordinate staffing so all department areas are adequately covered.
- Follow and help enforce the organisation’s policies and procedures.
- Manage and monitor financial administration to keep bank records accurate and up to date.
- Perform reconciliations for the general ledger, bank statements, payables, receivables, and weekly deposits.
- Support the Investment Banking Co-Heads and management teams in achieving their operational targets.
- Ensure customer records remain current and that HSBC SA standing instructions are completed correctly and on time.
- Carry out essential client banking transactions such as internal transfers, payments, and drafts.
- Help maintain service-level commitments and provide a consistently high standard of client service.
- Respond to customer queries with accuracy, quality, and timely issue resolution.
- Step in during unexpected absences and busy periods at counters and client-facing desks.
- Review, scan, and distribute daily correspondence for multiple clients and internal stakeholders.
- Prepare financial reports such as income statements and balance sheets.
- Ensure transactions are properly entered and recorded in accounting systems.
- Work closely with department and investment banking co-heads to coordinate administrative and service-related activities.
- Assist departments and employees by identifying requirements and helping process employee requests.
Requirements
- A bachelor’s degree in business administration or a related discipline is preferred.
- 1 to 3 years of relevant experience in a similar position is required.
- Prior banking-sector experience in the region, especially with an administrative focus, is preferred.
