Job Summary
The Fire Protection National Service Division is seeking an Administrative Assistant to provide critical organizational and administrative support to streamline daily operations. This position functions as an essential hub for internal teams, leadership, and customers through communication management, schedule coordination, record maintenance, and operational support.
Key Responsibilities
- Deliver administrative assistance to department personnel and leadership.
- Organize calendars, arrange meetings, manage schedules, and coordinate travel plans.
- Prepare and maintain various documents, reports, and records efficiently.
- Field and direct inquiries from customers and employees professionally.
- Support tasks such as data entry, filing, purchase order handling, and invoice processing.
- Manage office communications, orchestrate meetings, and assist with special projects.
- Contribute to onboarding procedures and prepare training materials.
- Ensure timely and precise completion of assigned administrative duties.
- Perform any additional duties as assigned.
Qualifications
- Minimum education: High school diploma or equivalent; associate degree preferred.
- At least 2 years of experience in administrative support, office assistance, or customer service roles.
- Strong aptitude for organization and keen attention to detail.
- Excellent oral and written communication abilities.
- Proficient in Microsoft Office suite including Outlook, Word, Excel, and Teams.
- Capable of prioritizing multiple tasks while maintaining accuracy and professionalism.
- Reliable attendance with willingness to work extended hours and weekends as needed.
