About the Role
NTT DATA is looking for a highly organized and proactive Administrative Assistant to provide executive support to the Managing Director, oversee office operations, and offer basic technical assistance to staff. This position suits someone who enjoys multitasking, problem-solving, and ensuring efficient workplace functionality with a positive, can-do mindset.
Key Responsibilities
- Act as the main point of contact for office administration and operations.
- Coordinate office activities, maintain inventory, and manage vendor relations including service contracts for cleaning, IT, utilities, and supplies.
- Schedule meetings, reserve conference rooms, and manage shared calendars.
- Support new employee onboarding by preparing workstations and facilitating orientation logistics.
- Control office access through management of access cards.
- Organise company events, meetings, and team initiatives.
- Provide first-level technical support such as troubleshooting hardware, software, and printers.
- Collaborate with IT or external service providers for complex technical issues.
- Maintain office technology inventory and handle device setup, configuration, and updates.
- Assist staff with connectivity problems including Wi-Fi and video conferencing.
- Promote adherence to IT policies and data security best practices.
- Prepare and maintain documents, reports, and correspondence.
- Assist with expense reporting, invoice processing, and procurement documentation.
- Welcome visitors, handle phone calls, and manage general inquiries.
Qualifications
- Minimum 2 years in administrative, office management, or IT support roles.
- Proficient with Microsoft Office Suite and workplace communication tools such as Outlook and Teams.
- Basic understanding of computer systems, office hardware, and troubleshooting techniques.
- Excellent communication, organization, and multitasking abilities.
- Maintain confidentiality and demonstrate professionalism.
- Resourceful, proactive, and customer-service focused attitude.
Preferred Qualifications
- Experience with ticketing systems or IT service management tools.
- Background in facilities coordination or vendor management.
Work Environment and Reporting
- Full-time, on-site position.
- Dynamic, team-oriented office culture fostering growth and learning.
- Reports to the Executive Assistant/Admin Manager.
