About the Role

Weave Living, a leading specialist in the Asia-Pacific living sector, offers thoughtfully designed rental accommodation and community-focused experiences. We are seeking a proactive, detail-oriented Administrative Assistant in Singapore to support finance, HR operations, and office administration. This role suits a well-organized individual passionate about facilitating smooth daily operations across multiple business areas within a growing company.

Key Responsibilities

  • Help prepare and issue invoices accurately and promptly.
  • Support tenant billing processes ensuring timely invoice delivery.
  • Track payment status and follow up on accounts receivable matters.
  • Assist with vendor invoice handling and payment administration.
  • Post job advertisements on recruitment platforms and company channels.
  • Schedule interviews and manage candidate communications.
  • Support onboarding processes, including document collection and arranging employee orientation.
  • Maintain organized, confidential employee records and HR files.
  • Track employee leave, probation periods, and other key information.
  • Assist in HR initiatives, employee engagement, and internal communications.
  • Coordinate training registrations and learning activities when needed.
  • Manage inventory of office supplies and coordinate purchasing efforts.
  • Liaise with building management, vendors, and service providers for office upkeep.
  • Arrange meeting room bookings and office facility needs.
  • Organize company events, team gatherings, celebrations, and engagement activities.
  • Provide support for travel, accommodation, and logistics as required.
  • Maintain office filing systems and administrative records meticulously.
  • Ensure an organized, welcoming, and operationally efficient office environment.

Qualifications & Experience

  • Diploma or Degree in Business Administration, Finance, Accounting, Human Resources, or related field.
  • Between 2 to 5 years of experience in administrative support, finance assistance, office administration, or HR coordination.
  • Fresh graduates with substantial internship experience are also encouraged to apply.

Skills & Competencies

  • Exceptional attention to detail and accuracy.
  • Excellent organizational and time management abilities.
  • Discretion in handling confidential information.
  • Proficiency with Microsoft Office, especially Excel, Word, and PowerPoint.
  • Comfortable using finance, HR, and administrative software systems.
