About the Role

The Administrative Assistant will serve as vital support for two senior executives in STARZ's New York office, specifically the SVP of Publicity, Events, and Awards, and the SVP of Insights & Analytics. This position is suited for an organized, proactive professional eager to advance a career in entertainment publicity and events. The role combines core administrative responsibilities with active participation in publicity functions, requiring adaptability and resourcefulness in a fast-moving environment.

Key Responsibilities

  • Provide executive assistance including scheduling both virtual and in-person meetings, preparing agendas, maintaining organized contact lists, managing supplies, and facilitating smooth workflow operations.
  • Manage complex, high-volume calendars across multiple time zones, prioritizing meeting requests, and coordinating logistics involving internal teams, external partners, talent representatives, and leadership.
  • Engage professionally with high-level executives, showrunners, talent teams, and industry stakeholders to foster seamless interactions.
  • Coordinate domestic and international travel arrangements encompassing flights, accommodations, ground transport, and detailed itinerary preparation.
  • Accurately handle departmental budgets by tracking, coding, and submitting invoices and accruals.
  • Prepare expense reports, collaborate with accounting and finance departments, and coordinate with operations teams including IT, Security, and Facilities.
  • Oversee management of subscriptions, renewals, memberships, and related accounts associated with publications.
  • Maintain and regularly update calendars and contact databases.
  • Support talent logistics such as travel, glam scheduling, itineraries, and day-of arrangements for press engagements.
  • Assist in organizing staffing, talent/media relations, and logistics for premieres, press junkets, FYC events, and other publicity activities.
  • Engage in PR research, trend monitoring, and contribute to writing press materials as needed.
  • Participate in departmental brainstorming and gain exposure to PR strategies and campaign development.
  • Provide additional support for departmental tasks and manage special projects as assigned.

Qualifications and Skills

  • Bachelor’s degree is required.
  • Minimum two years’ experience in administrative roles.
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint), G-Suite, Zoom, Teams, and Slack; familiarity with Concur, WorkDay, and PR tools like Cision, MuckRack, or Critical Mention is advantageous.
  • Excellent written and verbal communication, with strong editing and proofreading capabilities for diverse correspondence.
  • Ability to exercise good judgment and handle sensitive information confidentially and professionally.
  • Highly detail-conscious, capable of managing tight deadlines and swiftly adapting priorities.
  • Strong organizational skills to ensure timely and accurate task completion.
  • Thrives in fast-paced environments with excellent problem-solving and multitasking skills.
  • Confident, polished interpersonal skills to engage effectively with internal and external stakeholders.
  • Resourceful, proactive learner motivated to implement improvements and support entertainment publicity and event functions.
  • Willingness to perform essential day-to-day executive support tasks diligently.
  • Ability to build collaborative relationships with administrative partners.
  • Displays curiosity, initiative, and eagerness to expand responsibilities while focusing on core administrative duties.
  • Preferred: Interest or knowledge in entertainment industry and public relations; availability to work during weekends and evenings for certain events.

Compensation and Benefits

The annual salary range for this position is $55,000 to $65,000.
