Position Summary

The Administrative and Marketing Coordinator position provides pivotal support to the Executive Team to enhance their impact both internally and externally. This role blends high-level administrative assistance with active management of the executives’ social media presence and external communications. Additionally, it supports office administration and employee engagement functions, making it ideal for an organized, proactive individual comfortable with senior leadership interaction across operational and public-facing activities.

Key Responsibilities

  • Assist the Executive Team in building and maintaining professional presence on social media platforms.
  • Create, organize, and schedule content that reflects leadership perspectives and market positioning.
  • Monitor social media engagement levels and prepare basic reports.
  • Identify new opportunities for executives to raise their profile through media, industry conferences, and partnerships.
  • Coordinate outreach efforts involving customers, partners, industry colleagues, and government representatives.
  • Support initiatives for engagement with government, industry groups, and public agencies.
  • Prepare communications, briefing notes, and summaries for meetings with external and governmental stakeholders.
  • Keep accurate records of contacts, outreach efforts, and follow-up actions.
  • Directly support the CEO and President through calendar management, scheduling meetings, and organizing travel.
  • Manage visitor reception and act as an official point of contact within the office.
  • Oversee office supplies and contribute to daily office operations coordination.
  • Aid the HR, People & Engagement Director in internal communications, recruitment marketing, employee onboarding, training support, and culture-building activities.
  • Organize company events, leadership initiatives, and internal milestone celebrations with attention to logistical details.
  • Maintain orderly documentation and records.

Qualifications & Experience

  • Minimum three years of experience in marketing coordination, executive assistance, employee engagement, communications, or related roles.
  • Strong writing skills to produce clear, professional communications including social media content and outreach materials.
  • Solid familiarity with social media platforms and basic digital marketing practices, with at least three years of relevant experience.
  • Experience in planning or supporting employee engagement, workplace events, and culture initiatives.
  • Excellent organizational and multitasking capabilities with efficient time management.
  • Comfortable engaging with diverse stakeholders, including senior management, customers, partners, and government personnel.
  • Event and meeting coordination skills with attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Experience with social media management tools, email marketing, graphic design, or content creation applications is advantageous.
  • Professional and discreet when handling confidential information and working directly with senior leadership.
