Job description
Role overview
This position supports both administrative coordination and facility oversight for the organization. The role combines day-to-day office administration with management of buildings, office spaces, accommodations, vendor services, and maintenance activities to help keep operations running smoothly.
Administrative duties
- Handle routine office administration and keep daily operations organized.
- Track office supplies, manage purchases, and maintain inventory levels.
- Draft administrative documents such as reports, letters, memos, and internal paperwork.
- Maintain personnel files and administrative records in line with company policies.
- Arrange meetings, events, travel, and other logistical requirements.
- Oversee service agreements and follow up with external vendors and contractors.
- Ensure administrative practices follow internal procedures and compliance standards.
- Contribute to the improvement and implementation of administrative workflows that increase efficiency.
Facilities and asset management
- Supervise the upkeep of buildings, offices, accommodations, and related facilities.
- Coordinate preventive and corrective maintenance with service providers and contractors.
- Carry out periodic checks to confirm that facilities remain safe, clean, and fully functional.
- Monitor utility services such as electricity, water, air conditioning, and other building systems.
- Manage office furniture, equipment, and organizational assets.
- Follow up on facility issues and ensure they are resolved promptly.
- Support space planning, office relocation, and improvement initiatives.
Compliance and organizational context
- Ensure adherence to health, safety, and environmental requirements.

Qualifications
