Role overview
HeadQuarters is looking for an Accounts Payable Specialist to help keep its payment operations accurate, efficient, and on schedule. In this role, you will partner with the finance team to handle supplier invoices, support payment execution, and maintain clear financial records. This position suits someone who is highly organized, detail-focused, and comfortable working in a busy environment.
Working hours
The schedule for this role is 9:00 am to 5:00 pm PST.
What you will do
- Review, process, and track incoming vendor invoices with accuracy.
- Coordinate payment approvals and carry out payments through different payment methods.
- Keep complete and up-to-date records of transactions and vendor communication.
- Look for ways to improve accounts payable workflows and make them more efficient.
- Prepare payment summaries and reports for leadership review.
- Work with internal teammates to ensure invoices are handled promptly.
- Provide documentation and assistance for internal and external audit requirements.
- Respond to vendors professionally about payment timelines and any issues that arise.
What we’re looking for
- Hands-on experience using Sage Intacct or Stampli is required.
- A bachelor’s degree in Accounting, Finance, or a closely related discipline is needed.
- At least 2 years of experience in accounts payable or finance is required.
- Strong command of Microsoft Office, especially Excel.
- Excellent accuracy, with strong analytical and problem-solving ability.
- Good planning, organization, and time-management skills.
- Clear written and verbal communication skills.
- Ability to work well on your own as well as in a team setting.
