Role Summary
The Administrative Support Coordinator will provide comprehensive office support across New Zealand sites, assisting with key objectives, timeline management, and site operations.
Key Responsibilities
- Serve as the primary reception contact handling general inquiries and site assistance.
- Manage distribution and record-keeping of staff ID cards.
- Oversee locker allocation and management.
- Coordinate EV charger access and troubleshoot reported issues.
- Support planning and execution of site events, including organizing catering, communications, and scheduling.
- Facilitate contractor inductions and maintain sign-in systems.
- Act as liaison for site cleaning services, conduct inspections, and manage related escalations.
- Create and manage purchase orders as needed.
- Order and maintain inventory of stationery, cleaning supplies, and café consumables.
- Ensure meeting rooms are properly arranged, clean, and equipped.
- Submit IT support tickets for onboarding new employees.
- Assist in coordinating drug and alcohol testing, health monitoring, and other HR/EHS activities.
- Manage courier shipments including label printing.
- Coordinate visitation logistics for site visitors such as executives and project teams.
- Participate in departmental meetings for continuous feedback and improvements.
- Adhere to ISO quality standards and company policies.
- Comply with Occupational Health, Safety, and Environmental guidelines to reduce risks.
- Properly use any provided Personal Protective Equipment (PPE).
- Promptly report accidents or incidents within 24 hours to management.
- Ensure all activities conform with employment legislation and company policies.
- Promote a culture of excellence and customer focus aligned with Abbott’s values.
- Maintain current knowledge of company procedures and regulatory requirements.
Candidate Requirements
- Minimum five years’ experience supporting administrative functions.
- Ability to handle multiple tasks with effective prioritization and meet deadlines.
- Strong organizational skills with attention to detail.
- Excellent interpersonal skills and proficiency in written and verbal communications.
- A proactive approach and commitment to continuous improvement.
- Competently skilled in MS Word, PowerPoint, and Excel applications.
Location
This full-time onsite role is based in Pokeno, Waikato, New Zealand.
