Role Overview

Babcock New Zealand is seeking a Senior Receptionist/Administrator in Devonport, Auckland, to act as the vital first contact for employees, clients, suppliers, and Defence stakeholders. Beyond typical reception duties, this position covers a broad range of functions including administrative support, event and travel coordination, financial assistance, facilities oversight, and executive support, ensuring efficient daily operations of a dynamic office environment.

Main Responsibilities

  • Serve as the primary front-of-house contact, managing reception and visitor services.
  • Coordinate advanced administrative tasks and support functions supporting executive staff.
  • Oversee scheduling, calendar management, and meeting arrangements.
  • Handle travel bookings and logistics for staff and visitors.
  • Assist with financial processes, including invoice handling and related administration.
  • Contribute to facilities management and office support initiatives.
  • Identify opportunities to enhance administrative processes and workflows.

The ideal candidate is an organized, professional administrator adept at balancing multiple priorities with accuracy and attention to detail. Essential Qualifications & Skills

  • Certificate or Diploma in Business Administration or related field preferred.
  • Valid full driver's licence.
  • Eligibility to obtain and maintain a Defence Site Clearance (DSC).
  • Proficient with Microsoft Office Suite.
  • Strong capability in reception and front office management, stakeholder engagement, calendar and meeting coordination, travel and financial administration, and process enhancement.
