Job description

Job Objective

The role focuses on operating and maintaining the Project Information Management System (PIMS) to effectively support the entire project lifecycle from engineering, procurement, construction to commissioning phases. The key aim is to oversee accurate management of technical documents, drawings, procedures and vendor data, while streamlining document approval workflows and ensuring timely reviews.

Key Responsibilities

  • Operate and manage the PIMS platform to back the full project cycle end-to-end.
  • Ensure the accurate uploading, classification, and archiving of technical documentation including drawings, procedures, and vendor data.
  • Oversee workflows governing document approvals, ensuring review cycles occur on schedule.
  • Work closely with document controllers, engineers, project managers, and shipyard contractors for seamless coordination.
  • Configure folder hierarchies, manage user access rights, and set metadata standards within PIMS.
  • Produce reports, monitor deliverables, and aid audits along with compliance verifications.
  • Conduct training sessions to familiarize project personnel with PIMS functionalities.
  • Manage Document Management commissioning within PIMS, handling commissioning documents such as Inspection Test Records (ITR), Mechanical Completion (MC) certificates, Notices of Energizing (NOE), Ready for Commissioning Certificates (RFCC), Ready for Operations Certificates (RFOC), Site Acceptance Tests (SAT), and punch lists.
  • Participate in system and subsystem breakdown definitions, including defining Mechanical Completion certificates and associated Inspection Test Records.
  • Input and validate commissioning data including subsystem info, punch lists, and test outcomes to ensure accuracy in PIMS.
  • Cross-verify ITRs against field reports, confirming all engineering components (piping, instruments, valves, cables, etc.) are correctly identified and linked to their corresponding systems/subsystems following P&ID schematics.
  • Monitor and update punch item conditions categorized as A, B, or C; ensure Category A items are resolved before commissioning, Category B items get tracked post-commissioning.
  • Generate and circulate PIMS R4 reports tracking commissioning progress, aggregating values for phases like Mechanical Completion and Commissioning per subsystem/package.
  • Support preparation of Discipline Mechanical Completion Certificates (MCC) and Livening Up Notices (LUN) or NOE, ensuring all ITRs and checklists are complete.
  • Compile summary reports for RFCC and RFOC handovers emphasizing unresolved punch list items.
  • Collaborate with commissioning engineers, inspectors, and contractors to gather and verify real-time field data, reflecting accurate project status in PIMS.
  • Assist in drafting commissioning procedures by linking PIMS reports to procedural templates.
  • Manage uploading of subsystem breakdown documentation into PIMS to facilitate mechanical completion administration.
  • Maintain communication with stakeholders like Commissioning Manager and Operations team to address Punch list clarifications or certification needs.
  • Ensure traceability of installation and testing data within PIMS supporting warranty claims and audits.
  • Troubleshoot PIMS technical issues liaising with IT support or vendors.
  • Assist in handover of final documents to clients or operations upon project closure.
  • Coordinate with production teams to meet project requirements effectively.

Qualifications and Experience

  • Diploma qualification in a relevant technical discipline.
  • Preferably trained in PIMS R4, Omega O365, and commissioning workflows.
  • Familiarity with P&ID drawings and engineering tagging conventions.
  • Minimum of 3 years shipyard experience, ideally with new build rigs.
  • Strong verbal and written English communication skills.
