About the Role
Our client, a leading global investment fund based in Dubai, is seeking a highly organized and proactive Junior Executive Assistant to support the Executive Assistant to the CEO. This position requires someone who can handle a dynamic, fast-paced environment where no two days are the same, managing a blend of business and private responsibilities with professionalism, discretion, and meticulous attention to detail.
The role is office-based, Monday to Friday from 11am to 8pm with some flexibility. It offers a unique opportunity for exposure to senior leadership, private office operations, and executive support.
Key Responsibilities
- Assist the Executive Assistant to the CEO in various administrative and organizational tasks
- Manage calendar appointments, scheduling, and coordinate meetings efficiently
- Oversee inbox management, follow-ups, and maintain administrative order
- Prepare documents, spreadsheets, reports, and trackers as required
- Coordinate travel arrangements including itinerary preparations
- Maintain digital and physical filing systems
- Handle courier logistics, deliveries, and personal errands
- Support management of private residences and household operations
- Liaise with contractors, suppliers, maintenance teams, and service providers
- Coordinate property maintenance, repairs, installations, and servicing
- Obtain supplier quotations and maintain vendor relationships
- Assist with personal shopping, gift procurement, and lifestyle-related requests
- Manage inventories of household and operational supplies
- Support office operations, facilities management, and hospitality arrangements
- Assist with event planning, special projects, and ad hoc initiatives
- Follow up with external vendors to ensure timely delivery and execution
- Maintain confidentiality and handle sensitive information with utmost discretion
Candidate Requirements
- Prior experience as a Personal Assistant, Executive Assistant, or Team Assistant within a professional or luxury service environment
- Exceptional attention to detail and commitment to high standards
- Ability to manage multiple competing priorities calmly and effectively
- Proactive approach with ability to anticipate needs independently
- Strong written and verbal communication skills
- Collaborative team player mentality with readiness to engage hands-on
- Excellent organizational and time management abilities
- Proficiency in MS Office and Outlook applications
- Comfortable working in a high-pressure, fast-paced setting
- Native or bilingual English proficiency is required
