About the Role
Our client is a mission-driven, well-funded organization dedicated to generating significant social impact through culture, strategy, and innovation. They seek an Executive Assistant with 5 to 10 years of experience who excels in dynamic, high-performance settings to provide direct support to the Chief Strategy Officer (CSO).
Primary Responsibilities
- Manage a demanding and complex executive calendar, ensuring it reinforces strategic priorities rather than simply accommodating requests.
- Deliberately design meeting schedules to safeguard time for strategic planning, leadership initiatives, and personal well-being.
- Evaluate and prioritize meeting requests, rescheduling or declining as necessary while handling adjustments across multiple time zones.
- Oversee a high-volume executive inbox by filtering, flagging critical messages, drafting replies, and monitoring follow-ups.
- Anticipate operational needs to minimize administrative workload for the CSO.
- Organize internal and external meetings, including agenda preparation, material distribution, logistics, and participant coordination.
- Monitor action items and ensure completion of key initiatives.
- Handle travel arrangements, expense reports, and daily operational tasks.
- Provide occasional personal support such as managing reservations, appointments, gifts, family logistics, and travel plans.
- Maintain strict confidentiality with sensitive information.
- Develop and nurture strong relationships with senior leaders, board members, and external collaborators.
- Exhibit sound judgment and communicate professionally while acting as a reliable liaison across teams.

- Created a calendar system that preserves focus on strategic priorities.
- Significantly reduced inbox and administrative burdens for the executive.
- Enabled the CSO to dedicate most time to strategy development, leadership activities, recruitment, and external engagement.
- Implemented organizational systems and routines that boost efficiency and executive productivity.
Required Qualifications
- Between 5 and 10 years of experience as an Executive Assistant supporting senior-level executives, preferably in a dedicated one-on-one role.
- Proven expertise managing complex calendars with a focus on protecting executive time and priorities.
- Ability to handle confidential matters with discretion and professionalism.
- Resourceful and proactive with strong independent judgment.
- Excellent communication skills; confident to respectfully question priorities when needed.
- Highly organized and detail-focused, thriving within fast-paced, entrepreneurial environments.
- Personable, well-mannered, cooperative, and relationship-centered.
- Willingness to work remotely aligned with East Coast business hours, with occasional adjustments for Central Time as needed.
