Position Overview
The Executive Assistant role supports the Chief Marketing Officer and Chief Financial Officer at NBCU Local, overseeing daily administrative tasks and collaborating with internal teams and external partners.
Key Responsibilities
- Maintain strict confidentiality and discretion concerning all documents and matters.
- Manage executives' calendars, prepare expense reports, organize extensive filing systems, and execute additional administrative duties as needed.
- Handle high-volume phone communications by screening, logging, and responding to inquiries appropriately.
- Compose, type, and draft correspondence including letters, memos, and legal agreements.
- Organize and update project files to ensure accessibility.
- Assess and prioritize meeting requests, scheduling accordingly.
- Coordinate travel arrangements and lodging, preparing detailed itineraries.
- Serve as liaison between internal departments and external clients.
- Manage designated special projects focusing on administrative coordination.
- Assist with internal and external communications efforts.
- Arrange staff meetings, conferences, and client sessions as necessary.
- Oversee department duties such as renewing subscriptions, memberships, and maintaining office inventory.
- Plan and coordinate various social events in collaboration with internal teams.
Qualifications and Requirements
- At least 2 years of administrative experience within an entertainment company or legal department.
- Proficient with Microsoft Office applications.
- Outstanding organizational abilities, with capacity to juggle multiple tasks and prioritize effectively.
- Meticulous attention to detail and a proactive approach.
- Ability to uphold high confidentiality standards.
- Excellent communication skills, both written and verbal, with diverse stakeholders.
- Experienced in managing multiple concurrent projects and meeting deadlines.
- Skillful in balancing competing demands and managing busy schedules.
- Bachelor's degree or equivalent professional experience.
- Flexibility regarding working hours, including readiness to work overtime.
- Willingness to work onsite in New York, NY.
Preferred Attributes
- Personable demeanor that supports a positive collaborative team environment.
- Self-motivated with the initiative to work independently.
- Bilingual proficiency in Spanish and English, both spoken and written, is an advantage.
- Basic knowledge of AI-supported productivity tools such as Microsoft Copilot is a plus.
