Overview
The Center for Research on Evaluation, Standards, and Student Testing (CRESST) at UCLA leads in educational assessment and evaluation. Within CRESST, the ELPA21 program specializes in designing assessment frameworks tailored for English learners, combining rigorous research with practical application to measure language proficiency accurately.
Position Summary
This role of Professional Learning Administrative Assistant centers around providing essential administrative support for professional learning activities and managing state partnerships under the ELPA21 program. The assistant supports a busy leadership team, coordinates learning projects, documents procedures, and acts as a key liaison within the Products and Professional Learning group. Duties include assisting with workshops, conference presentations, and coordinating logistics for events, along with preparation of vital training and presentation materials. Success in this role relies on thriving in a fast-paced environment, meticulous attention to detail, strong organization, and excellent communication skills to advance program objectives.
Requirements and Qualifications
- 3-5 years of experience in project coordination, administrative assistance, or executive assistance preferred
- Proven background in administrative support, ideally within education or professional learning settings
- Experience with expense reporting and budget adherence preferred
- Skilled in event organization and management, including logistics and onsite coordination
- Mastery of Microsoft Office applications (Excel, PowerPoint, Word)
- Familiarity with project management and database platforms such as Asana, Monday, or Airtable
- Ability to problem-solve rapidly and effectively during events or project management tasks
- High precision in document preparation, scheduling, and reporting
- Knowledgeable in procurement processes, vendor relations, contract tracking, and invoice handling
- Capable of managing travel arrangements efficiently
- Excellent teamwork and communication skills across all organizational levels
- Exceptional organizational ability and attention to detail
- Strong verbal and written communication, clear and concise
- Effective multitasker who can meet deadlines reliably
Education
Associate's Degree is preferred but not mandatory.
Additional Details and Conditions
- Employment contingent upon satisfactory background check and Live Scan fingerprinting prior to start
- Position requires about 20% domestic travel and occasional participation in offsite conferences and meetings
- Work hours are 8:00 AM to 5:00 PM
- This role falls under the CX-Clerical & Allied Services union/policy coverage
