Role Summary

This position is for a tech-comfortable Medical Assistant with experience in specialty practice operations to join the Partner Success Operations team. You will support a dedicated group of specialty clinic partners, act as their operational anchor, maintain workflow records, help drive implementations, support clinics after go-live, and coordinate with the BPO agent team assigned to those accounts.

The role requires strong ownership and close involvement with day-to-day clinic operations. You will become the go-to person for how each assigned clinic works and help ensure Basata’s AI tools are functioning effectively in those environments.

Workflow Documentation and Maintenance

  • Create and manage clinic-specific workflow documentation for assigned accounts from the outset, including intake steps, referral handling, fax routing rules, and staff escalation paths in a form that other teams can use.
  • Update documentation as clinic processes change after go-live, keep versions organized, record changes, and make sure the Implementation Workflow Workbook reflects the current reality of each practice.
  • Convert informal, spoken clinic knowledge into clear process maps that can support onboarding, BPO agent training, and product setup.

Implementation Support

  • Support live implementations by working with the Partner Integration team to complete readiness checklists, coordinate EMR access and staff training, and surface risks before they create delays.
  • Help confirm that clinic-side workflows are documented, staff members are trained, and the practice is prepared to launch Emma AI Calls, Documents & Fax AI, and/or ACR.
  • Serve as the clinic’s main contact during the transition period, helping staff understand what the tools do and what workflow changes are required.

Ongoing Clinic Operations

  • Take ownership of the daily operational health of assigned accounts after go-live by watching for workflow drift, spotting unsupported edge cases, and escalating issues before they become larger problems.
  • Meet regularly with clinic staff to check adherence to workflows, identify pain points, and collect feedback that can improve both the product and internal processes.
  • Provide the Growth Partner team with operational context for reviews, expansion discussions, and escalation planning.

BPO Team Coordination

  • Act as the main point of contact between assigned clinics and the BPO agent team, making sure agents have the correct scripts, protocols, and escalation instructions.
  • Review BPO outputs for your accounts, identify quality or accuracy concerns, and work with Operations leadership to close gaps before they affect client relationships.
  • Ensure new BPO agents are properly onboarded to accounts in your pod, including system access, EMR setup, and clinic-specific procedures, while maintaining reusable onboarding documentation.

Required Background

Applicants should have 2–3 years of experience as a Medical Assistant or in a comparable healthcare support role, ideally in a specialty practice setting. Strong knowledge of front-office and back-office workflows is important, including referrals, fax handling, scheduling, and EMR documentation. Familiarity with EHR platforms is expected; experience with NextGen, AthenaOne/Athena Practice, ModMed, or similar systems is beneficial.

The ideal candidate naturally documents processes, understands how work is done well enough to teach it to others, and is comfortable working with AI tools and BPO support teams.
