About the Role
Join Cara as an Executive Assistant where you will support executive leaders devoted to people, purpose, and progress, working directly with the CEO and Deputy CEO. This position transcends traditional executive assistance by actively contributing to governance, risk management, and operational excellence across the organization.
Primary Responsibilities
- Serve as a reliable extension of the CEO and Deputy CEO, managing urgent and critical tasks aligned with executive intentions.
- Efficiently organize complex schedules and inboxes with an emphasis on prioritizing high-impact matters.
- Proactively identify needs, eliminate obstacles, and facilitate timely completion of organizational priorities.
- Independently acquire, organize, and manage documents and approvals to reduce administrative burden on executives.
- Provide technical and meeting support including managing Boardroom technology and coordinating with vendors or helpdesk services.
- Coordinate all aspects of Board and Committee operations such as meetings, agendas, minutes, and follow-ups to ensure smooth governance processes.
- Support compliance activities including governance documentation maintenance, training records, and monthly reporting coordination.
- Maintain and update the organizational risk register, assist in risk strategy implementation, and enhance visibility through reporting.
- Lead and support the WHS Coordinator in managing workplace health and safety documentation, reporting, and compliance.
- Act as operational line manager for WHS responsibilities with oversight from the CEO.
Skills and Experience Required
- Demonstrated experience supporting senior executives such as CEOs or Deputy CEOs in complex environments.
- Strong familiarity with Board governance including minute-taking and compliance procedures.
- Experience in risk reporting and understanding of organizational risk frameworks is highly desirable.
- Proven ability to handle multiple priorities effectively and deliver results independently within strict timelines.
- Outstanding attention to detail and exceptional organizational skills.
- Technical proficiency with IT systems and ability to troubleshoot and manage technical/vendor coordination.
- Experience in supervising or leading staff is preferred.
- Excellent communication and stakeholder engagement capabilities.
- High levels of integrity, discretion, and alignment with Cara’s values.
