Role Overview
This role encompasses two key positions within the company's repair operations: Inventory Support Officer for POS Terminals and Inventory Support Officer for Spare Parts. The POS Terminals officer manages the complete custody and traceability of all POS devices in the repair process, ensuring alignment between physical devices and inventory system records from the point of receipt to final dispatch. The Spare Parts officer oversees the entire lifecycle of repair components like batteries, screens, and cables, ensuring parts availability, proper documentation, and control to minimize waste.
Responsibilities
- POS Terminals:
- Accept faulty or returned POS devices from state offices, verifying serial numbers against waybills and logging into the Inventory Management System (IMS) within 24 hours.
- Identify damaged or missing-serial devices, raise discrepancy reports, and quarantine them accordingly.
- Assign faulty terminals daily to technicians, updating IMS to 'In Repair', and track progress through all repair stages, enforcing service level agreements for timely processing.
- Update IMS status promptly upon QA clearance; handle failed QA units by returning them to repair or tagging them as beyond economic repair (BER) and isolating them.
- Prepare dispatch documentation for refurbished devices, obtain necessary approvals, scan serial numbers during loading, track in IMS as 'In Transit–Outbound', and confirm delivery acknowledgment to complete transactions.
- Perform daily physical counts of devices, reconcile with IMS data, escalate discrepancies to inventory leadership, and participate in scheduled comprehensive physical audits.
- Maintain organized, clearly labeled storage areas segmented by device status and uphold inventory control policies and safety standards.
- Spare Parts:
- Receive spare part shipments, verify batch and serial numbers against delivery notes, and log items into IMS.
- Store parts securely in designated bins, protecting components from environmental damages.
- Issue parts strictly against approved job cards and update IMS to reflect stock movements accurately; process parts returns accordingly.
- Conduct weekly physical stock reconciliation, identify non-moving or obsolete parts, generate replenishment requests when stocks hit reorder levels.
- Create detailed reports on spare parts consumption and stock status, maintain logs linking parts to jobs and technicians, and monitor failure rates to support procurement feedback.
- Ensure proper storage area housekeeping, enforce segregation of duties to prevent unauthorized issuances, and assist in inventory audits.
Qualifications & Skills
- Minimum OND in a relevant field.
- At least 2 years of experience in inventory or warehouse operations.
- Proficient in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Competent with inventory management software and workflow tools.
- Demonstrated ability to work independently with minimal supervision.
- Meticulous attention to detail, with strong organizational and record-keeping capabilities.
- Effective communication skills for coordination across stakeholders.
- Capacity to multitask and adhere to deadlines under pressure.
