Role overview
The Address Collective is looking for a Front Office Assistant in Dublin to support the front desk operation and deliver a professional welcome to guests. The role centres on greeting visitors, handling room allocation in line with standard procedures, and maintaining a smooth reception experience throughout the shift.
Key duties
- Report to work on time in the correct, clean, and well-presented uniform, following the company grooming standards.
- Keep personal appearance, hygiene, and all work areas clean, safe, and orderly.
- Follow the organisation’s Code of Conduct and comply with policies on fire safety, health and safety, hygiene, guest care, and security.
- Read and follow the Health and Safety Statement and Staff Handbook, carrying out duties as set out in them.
- Verify reception floats and ensure they are accurate.
- Welcome and register arriving guests using their names and following brand and procedure requirements.
- Handle check-in and check-out paperwork accurately and in line with standard operating procedures.
- Stay informed about room availability, room rates, hotel facilities, amenities, promotions, and selling procedures.
- Offer help with guest needs such as dinner bookings, porter assistance, directions, and other information where practical.
- Post guest charges correctly to room accounts and support management accounts monitoring.
- Answer the switchboard in a courteous manner and transfer calls appropriately when needed.
- Manage reservations, cancellations, and no-shows according to company policy, and respond to booking queries promptly and professionally.
- Keep messages for guests and staff accurate, including date, time, sender, recipient, and initials, and make sure they are passed on without delay.
- Deal with guest requests and concerns politely, logging or escalating issues to the Duty Manager when required.
- Carry out cash balancing at the end of each shift across telephone, lounge, restaurant, bar, and reception takings.
- Assign rooms thoughtfully, taking into account relevant guest preferences and requests.
- Check telephone charges from meeting rooms and ensure they are posted to the correct folios.
- Handle guest safe deposits, foreign exchange transactions, and all money securely.
- Conduct security checks during the day and report any concerns to management.
- Escalate maintenance issues immediately to management.
- Support in-house selling and identify opportunities to improve revenue wherever possible.
- Attend training sessions and team meetings as required and follow the guidance provided.
- Complete assigned checklist duties and carry out any reasonable task requested by management, senior staff, or a guest.
