Role Overview
We are seeking a detail-focused, proactive Administrative Assistant to support our remote water treatment plant operations teams. This full-time role ensures smooth administrative processes and effective communication across departments, helping to manage multiple priorities within a dynamic and fast-paced environment characterized by seasonal workflow variations.
Key Responsibilities
- Facilitate onboarding procedures for new operations employees across North America, including coordinating third-party safety training (e.g., first aid, fit-for-duty certifications).
- Manage issuance of initial personal protective equipment (e.g., safety vests, jackets, hard hats).
- Organize pre-access requirements such as site orientations and drug and alcohol testing.
- Support supervisors and managers in scheduling employee rotations to meet project requirements efficiently.
- Handle operator expense processes, including collecting and filing receipts.
- Arrange travel and accommodation bookings for operations personnel, serving as the primary liaison between site travel and corporate travel agencies.
- Act as the main point of contact for operators regarding corporate support inquiries, redirecting as necessary (e.g., benefits, expenses).
- Maintain and organize both physical and digital operational files, records, and documentation.
- Keep current training records, certifications, and compliance documents up to date for the operations team.
- Assist in preparing reports, presentations, and operational documents.
- Serve as a communication hub for internal and external stakeholders.
- Manage site office supplies, equipment, and maintain vendor relationships.
- Track team tasks, deadlines, and action items to ensure timely completion.
Required Qualifications
- Fluency in both French and English to support multiple provincial sites.
- At least two years of administrative experience supporting remote sites and field staff, ideally within industrial or operations-based environments.
- Minimum education of a high school diploma or equivalent; Associate or Bachelor's degree preferred.
- Proficiency in Microsoft Office Suite and/or Google Workspace tools.
- Exceptional organizational skills and effective time management capabilities.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Detail-oriented mindset coupled with strong problem-solving abilities.
Compensation and Benefits
- Annual salary range between 50,000 and 65,000 CAD.
