Position Summary
The Talent Acquisition and HR Coordinator plays a vital role in assisting with recruitment activities, onboarding new employees, HR administrative tasks, and promoting employee welfare programs. Working closely with the Assistant Talent Acquisition Manager and Assistant HR Manager, this position focuses on attracting and retaining exceptional talent while ensuring a positive experience for candidates and staff aligned with the hotel's culture and standards.
Reporting Line
This role reports directly to the Assistant Talent Acquisition Manager and Assistant HR Manager.
Qualifications
- Bachelor's degree or diploma in Human Resources, Business Administration, Hospitality Management, or a related discipline.
- At least 2 to 3 years of experience in talent acquisition and HR, ideally within the luxury hospitality sector.
- Comprehensive understanding of recruitment workflows and HR administration.
- Excellent skills in communication, interpersonal relations, and organization.
- Strong attention to detail and ability to multitask effectively.
- Proficiency in Microsoft Office and HR information systems.
- Fluency in written and spoken English.
- Capability to handle confidential and sensitive information with discretion and professionalism.
Primary Responsibilities
- Manage the end-to-end recruitment process from job vacancy approvals to onboarding new hires.
- Source potential candidates through various channels including recruitment platforms, agencies, employee referrals, and career fairs.
- Conduct initial screenings and interviews for applicants.
- Arrange interview timetables coordinating between candidates and relevant managers.
- Draft offer letters, employment contracts, and handle necessary hiring documentation.
- Maintain consistent communication with candidates to ensure a positive recruitment experience.
- Collaborate with external agencies, universities, and partners on recruitment initiatives.
- Update and maintain recruitment trackers, databases, and reports.
- Participate in employer branding, internship programs, recruitment campaigns, and career fair activities.
- Ensure recruitment practices comply with organizational policies and local labor laws.
- Support onboarding and orientation processes for all new employees.
- Prepare employment verification letters, certificates, and HR documents.
- Maintain meticulous employee records and personnel files.
- Coordinate travel and onboarding logistics as needed for newcomers.
- Assist employees with HR administrative queries and requests.
- Work with the Public Relations Officer to manage visa documentation and onboarding formalities when necessary.
- Keep HR reports and trackers up to date with accurate information.
- Ensure confidentiality of all employee files and information.
- Organize and facilitate employee engagement events, recognition programs, and wellness initiatives.
- Support a welcoming environment for new hires ensuring a smooth integration.
- Foster positive relationships with employees and provide guidance on general HR matters.
- Assist with preparation of HR communications, announcements, and promotional materials.
- Promote the hotel’s values and support a positive workplace culture.
- Ensure all recruitment and HR documentation meets both company standards and local legal requirements.
- Contribute to monthly HR and recruitment report generation.
- Maintain recruitment and employee information accurately within HR systems.
- Identify opportunities for improving HR and recruitment administrative procedures.
- Adhere to all company policies, procedures, and confidentiality rules.
- Attend meetings, training sessions, and departmental briefings as requested.
- Maintain a professional demeanor representing the HR department positively at all times.
- Support cross-departmental HR projects and initiatives as needed.
- Perform any additional reasonable tasks assigned by HR leadership including the Assistant Talent Acquisition Manager, Assistant HR Manager, Human Resources Manager, or Director of People & Culture.
