Role Overview
The Executive Assistant will provide high-caliber support directly to the President and CEO of Ford Australia and New Zealand. This role involves managing the CEO's intricate calendar, organizing critical meetings, handling executive communications, and ensuring smooth operations at the Richmond National Sales Company office. Responsibilities include coordinating on-site events, conducting safety audits, and maintaining a professional and welcoming office environment. This position reports to the CEO and operates under a hybrid model requiring four days per week onsite at Richmond.
Key Responsibilities
- Efficiently manage the CEO's demanding schedule, aligning commitments with strategic business goals.
- Arrange and prepare executive meetings, securing resources and finalizing agendas ahead of time.
- Serve as the principal contact for the CEO's office, managing communications with discretion and professionalism.
- Organize detailed travel plans domestically and internationally including flights, lodging, and ground transport.
- Lead special projects and executive initiatives, troubleshooting operational challenges with practical solutions.
- Maintain confidentiality concerning sensitive corporate, financial, and personnel information.
- Take accountability for daily operational oversight of the Richmond office ensuring safety, cleanliness, and efficiency.
- Coordinate logistics for onsite events including room bookings, catering, visitor arrangements, and accommodation logistics.
- Conduct weekly safety audits and actively engage in safety committee meetings to uphold workplace standards.
Candidate Profile
- At least 7 years of executive administrative experience supporting a CEO, Managing Director, or senior leadership within a corporate environment.
- Strong time management capabilities with experience balancing multiple priorities and adhering to strict deadlines in a dynamic setting.
- Excellent communication skills, capable of establishing effective relationships with senior stakeholders and external partners.
- Business acumen with project management experience, proficient in budgeting and adept use of Microsoft 365 tools for executive reporting and presentations.
- Proven discretion and professionalism in handling confidential business and personnel matters.
