Role overview
This permanent Palmerston North position is a busy administration and coordination role within a customer-focused housing environment. It supports colleagues, customers, and wider community outcomes by keeping office operations organised, responsive, and efficient.
You will be one of the first people customers meet when they visit the office, helping to create a welcoming experience and directing them to the right support. The role also works closely with Housing and Wellbeing Support teams and involves a mix of communications, record management, scheduling, event support, and general office coordination.
The position suits someone who is adaptable, comfortable with technology, and able to thrive in a fast-changing workplace where priorities can shift quickly. You will need to use initiative, solve problems proactively, and contribute positively to both team performance and customer experience.
Key responsibilities
- Provide efficient administrative and coordination support to help the local office function smoothly.
- Act as a welcoming first point of contact for visitors and assist with customer enquiries.
- Support colleagues across customer-facing and wellbeing-focused teams with day-to-day administration.
- Manage communications, records, scheduling, and other office processes.
- Help organise events and contribute to the smooth running of office operations.
- Use technology and business systems effectively to work productively and improve processes.
- Identify opportunities to enhance how work is done and take initiative to resolve issues.
- Maintain accurate, high-quality work while handling changing priorities and competing demands.
- Exercise discretion, sound judgement, and confidentiality when handling information.
- Work collaboratively with the team to support positive outcomes for customers, whānau, and communities.
What you will bring
- Previous experience in an administrative role supporting several team members in a busy office.
- Strong planning and prioritisation skills, with the ability to manage multiple demands.
- Confidence using digital tools, systems, and new technology quickly.
- A proactive, self-starting approach with minimal supervision required.
- The ability to stay calm, think clearly, and respond well to unexpected situations.
- Flexibility, resilience, and comfort working in a fast-paced environment.
- High attention to detail and commitment to accurate work.
- Strong written and verbal communication skills.
- Good relationship-building skills with both customers and colleagues.
- Respect for confidentiality and the ability to use sound judgement.
- Cultural awareness, especially when engaging with Māori and Pasifika communities.
- A current, full, and clean New Zealand driver licence.
