Job description

Overview

The Payroll Specialist is responsible for managing and supervising payroll and timecard processes. This role also extends to supporting general Human Resources and Accounting activities based on applicable experience.

Key Duties

  • Coordinate and execute payroll processing along with related operations.
  • Audit employee timecards to ensure accurate compensation.
  • Collaborate with Human Resources and Finance to guarantee timely and accurate monthly pension contributions for employees and employers.
  • Track and manage employee leave balances through the ADP system.
  • Interpret union collective agreements to apply correct pay rates.
  • Enhance ADP system functionality to comply with pay agreements.
  • Perform reconciliations with the general ledger, including generating monthly and annual government reports, returns, and statutory filings related to payroll taxes and withholdings.
  • Provide support during audits, primarily by preparing and supplying supplementary documentation.
  • Participate in labor budget forecasting and budgeting activities.
  • Help with month-end financial reviews analyzing labor variances against budgets and forecasts.
  • Prepare custom reports and analyses on financial data for senior leadership.
  • Collaborate closely with Human Resources and Finance departments to optimize payroll process efficiency.
  • Examine tax assessments, invoices, and reports to ensure compliance with local, provincial, and federal regulations concerning various taxes and governmental filings.
  • Execute other related duties as assigned.

  • Demonstrate solid computer proficiency, particularly advanced Excel skills.
  • Manage multiple priorities and directions simultaneously.
  • Show self-motivation and initiative to progress work independently, acting as a self-starter.

Qualifications and Experience

  • Post-secondary education in Accounting, Finance, or Human Resources at college or university level.
  • 3 to 5 years' experience specifically in payroll processing.
  • More than 5 years' experience in a relevant accounting or human resources role.
  • Experience with enterprise software preferred; familiarity with ADP, IFS, and Microsoft BI considered advantageous.

Skills and Abilities

  • High level of accuracy and attention to detail.
  • Effective time management capabilities.
  • Excellent communication and interpersonal skills.
  • Sound understanding of and ability to interpret union collective agreements.
  • Experience in inventory management is beneficial.
