Overview

Water Corporation is moving forward with its strategic plan, focusing on enhancing capabilities, modernizing systems, and accelerating innovation. Our goal is to improve technology services to be more efficient, responsive, and aligned to the needs of our people, operations, and customers. We are seeking a knowledgeable Senior Officer in Records Management to join our team and play a critical role in shaping a modern, collaborative, and customer-centric Information & Technology Group.

Key Responsibilities

  • Oversee indexing, classification, naming, retention, and lifecycle management of both physical and electronic records.
  • Provide expert advice and support relating to records management standards, metadata, disposal schedules, and information governance requirements.
  • Identify and resolve inconsistencies in metadata, classification, retention, and indexing to ensure data integrity and compliance.
  • Lead reporting efforts tied to records and information management functions.
  • Conduct quality assurance to verify that records management standards and regulatory obligations are correctly applied.
  • Coordinate with internal teams and external agencies, including the State Records Office of WA, regarding records transfers, disposal schedules, and compliance.
  • Support governance frameworks to ensure organizational adherence to legislative and statutory records requirements.
  • Contribute to ongoing improvements in records management processes, compliance tools, and information governance frameworks.
  • Cultivate strong partnerships with business units to provide trusted advice on best record keeping practices.
  • Offer reports, guidance, and recommendations to senior leaders about records quality, classification, retention, and compliance.
  • Collaborate with partners, vendors, and external service providers to ensure compliance during projects and document handovers.
  • Assist with remediation of issues related to records quality and information governance.
  • Deliver training and coaching on principles of records management, classification, naming conventions, and retention policies.
  • Develop information management training materials and awareness programs.
  • Keep updated on emerging trends, legislation, standards, and best practices to improve procedures, systems, and service delivery.
  • Ensure all activities comply with corporate policies, legal standards, ethical requirements, and governance obligations.

The ideal candidate is an experienced records management professional who is detail-oriented and passionate about information governance. They thrive when collaborating with stakeholders, providing expert guidance, and ensuring effective lifecycle management of records.

Required Skills and Experience

  • Extensive experience in records, information, or document management environments.
  • Strong understanding of records classification, metadata management, indexing, retention, and disposal protocols.
  • Familiar with electronic document and records management systems.
  • Knowledgeable about records management legislation, compliance requirements, standards, and governance principles.
  • Excellent analytical abilities, problem-solving skills, and quality assurance experience.
  • Effective communication and stakeholder engagement skills.
  • Proven ability to collaborate and deliver high-quality, customer-focused services.

Preferred Qualifications and Experience

  • Post-secondary qualifications in Records Management, Information Management, Library Studies, or related fields.
  • Experience with performance metrics and KPIs for service improvement.
  • Familiarity with current records and information management trends, technologies, and tools.
