Role Overview
A private executive office in Miami, Florida is seeking a highly skilled Executive Personal Assistant to provide discreet and comprehensive support to a senior executive. This full-time, on-site position requires managing both professional and personal aspects of the executive's life with utmost confidentiality and efficiency, ensuring smooth business operations and personal affairs.
Primary Responsibilities
- Effectively manage a complex and active calendar, prioritizing meetings, appointments, and tasks.
- Arrange and oversee domestic and international travel plans, including itineraries, lodging, and transport details.
- Screen and prioritize all incoming communications.
- Prepare presentations, reports, and executive correspondence for meetings and business needs.
- Track deadlines, follow-ups, and key action items diligently.
- Support confidential business projects and initiatives.
- Act as liaison with clients, advisors, vendors, and professional networks.
- Handle processing of expense reports and assist in administrative duties.
- Organize and maintain digital records, confidential files, and relevant documentation.
- Coordinate personal appointments, reservations, and scheduling matters.
- Manage personal travel and lifestyle logistics.
- Assist with household management, including vendors, service providers, and property-related issues.
- Handle personal purchases, errands, gifts, and special requests professionally.
- Support family scheduling and private event planning as needed.
- Monitor personal expense tracking and bill management.
- Maintain professionalism and discretion when handling sensitive personal issues.

Required Qualifications and Skills

- Strong organizational capabilities and project management skills.
- Excellent verbal and written communication proficiency.
- Ability to multitask and manage varied priorities in a dynamic environment.
- Track record of handling confidential information with integrity and discretion.
- Advanced skills in Microsoft Office Suite, Outlook, Teams, and calendar management.
- Experienced in planning and coordinating complex domestic and international travel.
