Overview

The Assistant Manager in Facilities Management is pivotal onsite, responsible for conducting thorough property inspections, evaluating unit conditions, and ensuring that maintenance, safety, and handover protocols are strictly upheld. This role aids in smooth tenant transitions, mitigates operational hazards, and guarantees the property standards align with the organization's focus on quality, safety, and client satisfaction.

Key Duties

  • Perform detailed move-in, move-out, routine, and vacant unit inspections adhering to established guidelines.
  • Evaluate unit conditions, detect faults, and document observations using authorized inspection methods and checklists.
  • Produce precise inspection reports, snag lists, and condition analyses within set deadlines.
  • Confirm maintenance work quality and completion prior to handing over units or occupancies.
  • Coordinate and communicate with Technical Services teams and contractors to resolve defects and snags efficiently.
  • Track and ensure timely remediation of identified issues.
  • Assist in preventive maintenance assessments and monitor asset conditions.
  • Identify recurring problems for escalation to supervisors or managers.
  • Ensure full compliance with safety, quality, and regulatory frameworks including AD EHSMS, ADOSH standards, corporate HSE policies, and UAE regulations.
  • Recognize and report any health and safety hazards immediately.
  • Uphold professionalism when attending both occupied and vacant premises.
  • Upload inspection documentation, images, and records promptly to designated systems.
  • Maintain comprehensive logs of inspections, defects, and rectification progress, supporting audit preparations.
  • Engage courteously with residents, owners, and team members during inspections, explaining findings in a clear and respectful manner.
  • Arrange site access to reduce disruption and improve inspection efficiency.
  • Assist colleagues during peak workloads or staff absences.
  • Measure performance by report accuracy and timeliness, thorough defect reporting, compliance with safety and quality standards, and reduction of post-handover defect recurrence.

Qualifications and Experience

  • Diploma or certification in Engineering, Facilities Management, or a closely related technical discipline.
  • Between 2 to 4 years of relevant experience in property inspection, facilities, or maintenance roles.
  • Proficient English communication skills in writing and speech; Arabic language skills are advantageous.
  • High level of attention to detail and strong observational capabilities.
  • Ability to assess building finishes, fundamental MEP systems, and common maintenance challenges.
  • Competent in executing site inspections independently.
  • Possession of a valid UAE driving license.
  • Willingness and ability to work onsite at various property locations.
