Job Overview
The Assistant Community Manager is primarily responsible for overseeing community management in full compliance with relevant laws governing Jointly Owned Properties. This role includes supervision of site operations, financial oversight, general administration, and fostering relationships with Owners Association (OA) Board Members, property owners, service providers, and contractors involved in the community's operation.
Key Responsibilities
- Lead and supervise the team to meet performance standards and identify opportunities for their professional growth.
- Conduct employee performance appraisals and provide constructive feedback to enhance team effectiveness.
- Delegate tasks clearly to team members to ensure smooth operations.
- Ensure compliance with Jointly Owned Property Law and related regulations.
- Facilitate formation and registration of Owners Associations and manage their governing documents.
- Maintain strong relationships with OA Board Members, homeowners, and residents, supporting their administrative and secretarial needs.
- Organize and administer Annual General Assemblies and Board Meetings in alignment with the community’s constitution.
- Oversee community financial management including insurance and claims.
- Manage communal areas, related services, contracts with service providers, and comprehensive record-keeping systems.
- Implement regular communication plans to keep residents and stakeholders informed.
- Liaise with government bodies on matters affecting the community as necessary.
- Prepare required reports, presentations, and analyses for senior management and OA boards.
- Conduct regular site inspections, manage service provider performance, and ensure contractual obligations are met, ensuring high standards are upheld.
- Address health and safety concerns proactively and manage emergencies in accordance with established protocols.
- Facilitate timely and effective communication to residents and stakeholders through newsletters and updates.
- Plan and host community events to enhance social cohesion and well-being.
- Manage vendors, including reviewing procurement requests and evaluating proposals for OA transactions.
- Develop and present community budgets, coordinate fee invoicing and collections, enforce recovery actions for overdue fees, and ensure prudent financial management to maintain healthy cash flow.
- Ensure invoices comply with VAT regulations and promote initiatives to improve income and reduce costs.
Candidate Profile
- Minimum graduate degree from a recognized university.
- Professional certification in Community Management from an accredited institute is required.
- 3 to 4 years of relevant experience in property management with OA or similar, or 4 to 5 years of front office experience in large-scale hotel operations.
- Strong interpersonal skills with the ability to communicate effectively and tactfully with clients and stakeholders.
- Excellent analytical, problem-solving, time management, and proactive planning capabilities.
- Proficient verbal and written communication skills in English; Arabic fluency is an advantage.
- Well-versed in Microsoft Word, Excel, and PowerPoint.
