Overview
We are seeking a highly detail-oriented and organized Project Administrator with 2 to 5 years of experience in project administration, controls, or accounting. This role demands accuracy, excellent communication skills, and proficiency in Microsoft Office, with additional familiarity in Procore or MS Project considered advantageous. A bachelor’s degree in Business, Accounting, Legal, or Construction Management is preferred.
Key Responsibilities
- Assist Project Managers and Engineers by maintaining current and precise schedules, budgets, and documentation.
- Own project control tasks including forecasting, cost tracking, invoicing, and detailed reporting.
- Ensure all project-related documents — such as contracts and meeting minutes — are accurate, distributed promptly, and kept up to date.
- Organize project meetings, monitor action items, and ensure their completion through follow-up.
- Manage financial aspects including invoice preparation, vendor payment tracking, and support for monthly accounting processes.
- Serve as the central point of contact for organizational detail and team accountability.
Required Qualifications and Skills
- Minimum 2 years and up to 5 years of relevant experience in project administration, project controls, or related accounting fields.
- Impeccable attention to detail, with a commitment to accuracy in all tasks.
- Strong organizational skills and capability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Excel, Word, and Outlook; experience with Procore or MS Project is a plus.
- Background or experience in financial tracking, forecasting, or project reporting is preferred.
- Excellent written and verbal communication skills.
- Bachelor’s degree in Business, Accounting, Legal, or Construction Management preferred.
- Ability to be adaptable, resourceful, and self-motivated, taking initiative to complete tasks without requiring constant oversight.
