Role Overview and Responsibilities
- Respond to employees' inquiries and offer assistance; escalate sensitive or complex issues to the People & Culture Manager.
- Manage the candidate database by organizing CVs and ensuring it remains current.
- Assist managers with employee-related concerns and support documentation preparation such as invoices and other People & Culture paperwork.
- Coordinate with various departments to follow up on People & Culture requests.
- Create and maintain comprehensive employee files ensuring all necessary documentation is complete and up-to-date.
- Track and pursue missing or expiring employee documents, including IDs, certificates, contracts, and bank details.
- Safeguard employee files, maintaining confidentiality and organization.
- Draft employee letters and job offers using standardized templates.
- Collaborate with the Government Relations Officer to manage employee contracts and required documents.
- Facilitate onboarding and offboarding processes, confirming completion of required documents, checklists, and clearance procedures.
- Monitor key dates such as probation reviews, contract expirations, ID renewals, municipality cards, and certifications; prepare monthly expiry reports for management.
- Support tracking and addressing attendance concerns, reporting issues appropriately.
- Assist with internal communications including announcements, memos, and notices pertaining to People & Culture.
- Promote employee engagement initiatives such as surveys, recognition programs, celebrations of birthdays, national holidays, and other events.
- Propose ideas and organize activities to enhance employee experience and cultivate a positive work environment.
- Maintain records for employee lockers and oversee cafeteria feedback and complaints, liaising with relevant departments as needed.
- Update employee notice boards to ensure current information is displayed.
- Manage documentation for casual labor companies including IDs, attendance records, and invoicing.
- Support Government Relations by preparing employee documents on request.
- Contribute to other People & Culture-related projects and activities as assigned.
- Uphold strict confidentiality of all employee data and comply with hotel policies, procedures, and standards.
- Execute additional duties delegated by the People & Culture Manager.
Qualifications and Skills
- Applicants must be Saudi Nationals.
- Possess a bachelor's degree or diploma in Human Resources, Business Administration, Hospitality, or a related discipline.
- Prior experience in a People & Culture, HR, or similar capacity, preferably within the hospitality sector.
- Strong verbal and written communication skills in English.
- Proficiency with Microsoft Office suite, especially Word and Excel.
- Excellent organizational capabilities and time management.
- High attention to detail with ability to maintain precise employee records.
- Ability to handle confidential information with integrity and discretion.
- Effective interpersonal skills conducive to collaborating across departments and employees.
- A positive mindset, team-oriented attitude, and eagerness to learn.
