Role overview
Mater Private Network is looking for a highly organised, compassionate, and proactive Medical Secretary to support the team on a fixed-term contract. In this role, you will be the main contact for patients and referrers, delivering a high-quality and supportive administrative service. You will help manage consultant clinics, improve patient flow, and keep the department running smoothly each day.
Patient relations and front-of-house
- Serve as the first point of contact for the clinic, handling patient calls, messages, and enquiries in a considerate and professional manner.
- Register patients, process referral letters, and arrange appointments, clinic visits, and procedures.
Clinic and practice administration
- Get clinics ready by checking that patient records, charts, referral documentation, and relevant test results are reviewed and available.
- Welcome patients, organise follow-up visits, monitor medical files, and oversee non-attendance procedures.
- Produce accurate and prompt medical typing for clinic correspondence, follow-up letters, and inpatient discharge summaries.
Financial and IT administration
- Handle clinic payments and patient invoices, including processing, receipting, and reconciliation.
- Use several IT systems every day; familiarity with the MediTech platform would be a strong advantage.
- Maintain accurate and secure records while safeguarding patient and staff confidentiality in accordance with hospital policy.
Team support
- Work closely with the wider administrative team and provide cover for phones, clinics, and leave arrangements when needed.
Candidate profile
- A solid level of education is required, such as Leaving Certificate or an equivalent qualification.
- Prior experience in a similar secretarial or administrative role in a healthcare or hospital environment is essential.
- Fast, accurate audio or dictation typing skills and a strong understanding of medical terminology are essential.
- Strong computer skills are needed, including confidence with MS Word, Excel, and Outlook, plus the ability to learn new hospital systems quickly.
- You should bring excellent interpersonal and telephone skills, along with an empathetic, patient-focused approach.
- The role suits someone who can juggle multiple priorities, stay composed in a busy setting, and work accurately under pressure.
- A discreet, professional attitude, initiative, and the ability to work well both independently and as part of a team are important.
