Role overview

Thompson Hine LLP, an AmLaw 200 law firm known for its focus on innovation, inclusion, and a collaborative workplace, is looking for an experienced Legal Assistant to support its Minneapolis office. This is a 37.5-hour-per-week position. The role provides broad administrative and practice support to attorneys and other assigned timekeepers across the Litigation, Labor & Employment, and Corporate practice groups.

The Legal Assistant is a key part of the team, helping assigned lawyers and other timekeepers deliver excellent client service while maintaining the firm’s expectations around quality, confidentiality, and professionalism.

Key responsibilities

  • Draft, revise, format, and style correspondence, memoranda, and other documents so they are accurate and consistent with firm standards.
  • Review, edit, proofread, and release time entries for assigned attorneys and other timekeepers when needed.
  • Coordinate with the Billing team to review client invoices and help prepare final bills for submission.
  • Prepare expense reimbursement requests, attach supporting receipts, and follow up on approvals and payment status.
  • Support business intake tasks such as conflict checks, opening new clients and matters, and preparing and sending engagement letters.
  • Keep client files current and organized in both electronic and paper formats, and prepare files for closure when matters end.
  • Arrange travel and related logistics for assigned attorneys and other timekeepers as required.
  • Handle routine administrative and clerical work, including answering calls when requested, processing incoming and outgoing mail, and managing deliveries.
  • Use Outlook at an advanced level to manage calendars, schedule meetings, coordinate conference rooms, and handle catering logistics when necessary.
  • Maintain professional interactions with clients, visitors, and colleagues while protecting the confidentiality of the attorney-client relationship.
  • Work with support teams such as Business Intake, Office Services, Finance, Library, the Firmwide Administrative Support Center, Marketing, and Paralegals to ensure effective coverage and coordination.
  • Provide backup assistance to peers and collaborate with coworkers to keep work moving efficiently.
  • Use approved firm technology, document management tools, and collaboration platforms to improve accuracy and productivity.
  • Look for ways to streamline work processes and support continuous improvement efforts.
  • Take on additional tasks and responsibilities as assigned.

Additional duties

  • Use software, terminology, and best practices that are relevant to the assigned practice area.
  • Conduct internet research when needed and make use of library services.
  • Work with court systems, rules, procedures, and jurisdiction-specific requirements.
  • Participate in firm training and professional development programs.
  • Offer peer support and mentoring while contributing to a positive team culture.
  • Support firm services such as Docusign and similar client-service programs.
  • Responsibilities may differ between litigation and transactional practice areas.

Qualifications

The firm requires a high school diploma or equivalent, along with administrative or legal secretarial experience. Some college coursework is preferred. Notary Public licensure is considered an advantage.

Successful candidates should have strong command of Microsoft Office tools, legal document software, and terminology relevant to the practice group. They must communicate clearly in writing and verbally, pay close attention to detail, and demonstrate strong editing skills for punctuation, grammar, spelling, and data review. Work schedule and location

This role is tied to a designated Thompson Hine office location and must be worked on-site according to a schedule set by the Manager for the department’s and firm’s needs. Any changes to the location or schedule must be approved by the Manager and Human Resources.
