Role overview
An established law firm is looking for an Administrator/Junior Secretary to support its Development Sales team within the Real Estate & Projects division in London. The wider real estate practice is central to the firm’s work and handles a broad mix of property matters for clients ranging from social housing providers and care-home operators to private developers, covering developments from small schemes to very large sites, along with portfolio and street property acquisitions and disposals.
This position suits a highly organised, proactive person with strong attention to detail who can deliver full secretarial and administrative assistance to the team while helping maintain high client service standards.

Reporting to: Amber Cooper, Secretary Coordinator
Experience: Prior experience in a similar position is preferred, and a CILEx Diploma for Legal Secretaries is desirable but not mandatory.
Interview process: A single in-person interview stage.
Key duties
- Carry out routine office and administrative tasks such as filing, printing, scanning, and tracking incoming post and courier deliveries.
- Prepare and send completed documents, including the creation of cover letters.
- Support the shared secretary inbox by handling a variety of additional tasks.
- Draft bills and manage invoices as well as completion monies.
- Help fee-earners with opening new matters and files.
- Answer client calls, direct them appropriately or take messages, and communicate with external contacts.
- Monitor completion monies to ensure they are released promptly.
- Use the firm’s search provider to place searches.
- Keep physical and digital files organised, accurate, and up to date.
- Step in to provide cover and support for other secretaries when needed.
Candidate profile
- A CILEx Diploma for Legal Secretaries is advantageous, though not required.
- Strong accuracy and a consistent commitment to high-quality work are essential.
- You should be able to take initiative and work in a self-directed way.
- Good workload management and prioritisation skills are needed to support team efficiency.
- Fast typing skills of 50+ words per minute are required, along with relevant legal secretarial experience.
- Experience with both audio typing and copy typing is expected.
- Advanced proficiency in Microsoft and internet-based applications is necessary.
- You must be comfortable coordinating large Word documents.
- Excellent written and spoken communication skills are important.
- The role requires the ability to communicate information clearly and succinctly to clients and outside organisations.
