Job Overview
The Officer - Business Support is responsible for ensuring seamless business operations by delivering support services in an efficient and cost-effective manner. The role aims to uphold company policies, procedures, and processes to achieve the highest standards in service delivery.
Strategic Responsibilities
- Establish and maintain formal, measurable service level matrices and performance targets aligned with Service Level Agreements (SLAs) for various business units.
- Implement cost optimization strategies within assigned tasks to maximize savings and avoid complex or legal issues.
- Ensure outstanding customer satisfaction by promoting consistency, teamwork, engagement, and gathering feedback.
- Facilitate the smooth, adequate flow of information within team members and external parties to support broader business functions.
Operational Responsibilities
- Collaborate closely with business units, legal department, operations, and relevant governmental authorities to fulfill requirements.
- Liaise with authorities such as Water and Electricity, CNIA, GHQ, telecommunications providers, the Department of Economic Development, and Chamber of Commerce.
- Manage processing of new and renewal security passes for personnel and vehicles at CNIA and GHQ.
- Monitor vehicle registration renewals and secure necessary No Objection Certificates (NOCs) from concerned parties.
- Oversee company license renewals including obtaining required NOCs.
- Coordinate employee-related cases with police and other government agencies.
- Work with the legal department to handle ongoing legal cases and monitor progress.
- Manage responsibilities related to the rent committee (Tariff committee).
- Handle tenancy contracts for labor accommodations and update the Ministry of Labor accommodation system; obtain relevant NOCs.
- Maintain office management practices aligned with workplace policies and codes of conduct.
- Support resolution of issues related to new land acquisitions by the organization.
- Register companies with government bodies for tendering purposes.
- Follow up on building permits and other necessary approvals.
- Participate in seminars and government-related activities as required.
- Ensure all business operations comply with applicable government regulations.
- Perform additional tasks assigned by management.
People Management
This role currently has no direct people management responsibilities.
Product and Process Improvement
- Guarantee compliance of support service processes and contribute value to overall business performance.
- Identify opportunities to streamline support services by utilizing systems and applications to enhance business output.
- Assist in developing departmental processes and customer service standards within assigned areas.
- Engage in cost-saving initiatives and risk assessment efforts by reviewing current workflows to implement improvements.
- Collaborate with internal and external stakeholders on development plans.
- Design methods to track improvements from the perspective of business support services.
- Implement new technical systems and technological solutions in coordination with the Business Partner to enhance operational efficiency.
- Stay informed regarding organizational changes and business developments.
Qualifications
- Preferred: Diploma or Degree in a relevant discipline.
- Required: Minimum of 5 to 7 years of experience in a similar role.
- Strong results orientation, self-motivation, and positive attitude.
- Excellent interpersonal skills with the ability to interact effectively with officials.
- Proficient communication abilities in both Arabic and English.
- Computer literacy is essential.
- Must hold a valid UAE driving license.
