Position Overview
The Marketing Operations Executive is a crucial member of the team responsible for managing daily activities that ensure the smooth execution, transparency, and oversight of marketing operations and budgets for the Food and Water product lines. This position ensures rigorous control over marketing spending, efficient purchasing and payment workflows, and supports the broader marketing team with precise monitoring and timely coordination.
Core Responsibilities
- Oversee the entire procurement cycle including Purchase Requisitions (PRs), Purchase Orders (POs), and Service Receipt Notes (SRNs), raising PRs, tracking the status of POs and SRNs, and escalating challenges when needed while ensuring procedural compliance.
- Liaise with the Procurement department to guarantee that Purchase Orders are delivered timely before marketing activities commence to prevent delays.
- Coordinate with vendors to assure prompt payments and accurate, punctual processing of SRNs.
- Maintain precise and effective tracking of marketing expense budgets to promote full budget transparency across all brands.
- Independently drive budget meetings by setting agendas, documenting minutes, and ensuring completion of action items.
- Conduct monthly reconciliations, closings, and reporting to both marketing and finance teams.
- Monitor events, sponsorships, and Free-of-Cost (FOC) issuances and budgets, keeping detailed records and coordinating with cross-functional teams.
- Manage Co-Packing Purchase Requisitions and label printing for respective brand lines.
- Coordinate permit acquisitions for vehicle and fleet branding to facilitate timely execution.
- Create promotion item codes in SAP as necessary, collaborating with Supply, Demand, Procurement, and Finance teams.
- Contribute to AI transformation initiatives by drafting and documenting requirements, capturing pain points, testing emerging applications, and delivering structured feedback to development teams.
- Assume new responsibilities and projects within related functions to develop skills, increase visibility, and broaden organizational understanding.
- Lead process enhancements by automating recurring activities like DME tracking and PR/PO operations through Excel, system improvements, and collaboration with Development and Digital & Technology teams to enhance efficiency and minimize manual work.
Qualifications & Experience
- 2 to 4 years of experience in marketing operations, procurement coordination, budget management, or comparable support roles; candidates with strong aptitude and less experience may also be considered.
- Familiarity with PR/PO/SRN workflows and ERP systems such as SAP or equivalents is beneficial.
- A college degree in a relevant field is an advantage.
- Experience in FMCG, beverage, or food industries is preferred but not mandatory.
Functional Skills and Attributes
- Excellent organizational abilities to handle a large volume of recurring assignments and meet multiple deadlines.
- Proficient in Microsoft Excel with capability to develop and refine tracking tools and reports.
- High attention to detail with commitment to accuracy and openness in managing budgets.
- Strong communication skills and ability to coordinate effectively with vendors and cross-functional teams including Supply, Demand, Procurement, and Finance.
- Comfortable adapting to technology with an interest in AI tools and able to test applications, document requirements, and provide constructive feedback.
- Self-motivated, reliable, and able to work independently with minimal oversight.
