Role overview
This full-time, in-office opportunity is for an Executive Personal Assistant who will support the CEO in a fast-moving asset management setting in New York, NY. The role focuses on delivering high-touch administrative and personal assistance so the CEO can stay organized across both work and private commitments. It is a direct support position, with exposure to leadership and strategic work, but it is not a people-management role.
What you'll handle
- Provide end-to-end executive assistance to the CEO, including complex diary coordination, meeting scheduling, and travel arrangements.
- Partner with the CEO’s spouse to keep personal and business calendars aligned across several entities, including agenda planning, medical appointments, and other personal logistics.
- Act as a coordination hub across internal teams so the CEO’s priorities move forward smoothly.
- Build meeting agendas, prepare briefing documents and presentations, record detailed notes, and follow through on action items.
- Organize premium domestic and international travel, including air travel, hotels, and ground transport.
- Prepare, review, and submit expense reports accurately and in line with company policy.
- Plan executive meetings, offsites, and company events, managing the logistics from start to finish.
- Serve as the main communication link for internal and external contacts, ensuring responses are professional, clear, and timely.
- Take responsibility for ad hoc assignments and special projects, using independent judgment to solve problems effectively.
Experience and qualifications
- At least 5 years supporting senior executives, preferably in asset management, financial services, or another demanding corporate environment.
- Demonstrated success handling highly complex schedules while protecting sensitive and confidential information.
- Strong organizational skills, the ability to prioritize well, and comfort managing multiple tasks at once.
- Excellent accuracy and careful attention to detail.
- Strong written and spoken communication skills.
- Advanced knowledge of Microsoft Office, especially Outlook, Excel, and PowerPoint.
- Ability to perform well in a high-pressure, fast-moving workplace.
- A discreet, trusted professional who handles confidential matters appropriately.
- Proactive mindset with a strong sense of accountability and ownership.
- Polished, collaborative, and comfortable working as part of a team.
Working conditions
The position is based in New York City and requires 5 days per week in the office. It is set within a dynamic investment environment and requires someone comfortable operating at a high standard. Compensation is listed as a base salary of $150,000 to $200,000 plus bonus.
