Role Summary

We are looking for an organised and proactive Coordinator to oversee our pipeline of government and private sector procurement opportunities in Saudi Arabia and the surrounding region. This role includes identifying opportunities, managing supplier registrations, coordinating bid submissions, and ensuring punctual, accurate tender processes. It is a vital support position for business development efforts, helping ensure no commercial opportunity is overlooked.

Key Responsibilities

  • Monitor procurement portals and supplier platforms daily to discover new tenders and requests such as RFIs, EOIs, RFQs, and RFPs aligned to company services.
  • Create clear summaries for each opportunity outlining scope, deadlines, and eligibility, maintaining a current pipeline.
  • Administer supplier registrations and company profiles on platforms like Etimad, Aramco, NEOM, ROSHN, Diriyah Company, Qiddiya, Red Sea Global, Mushama, and others.
  • Maintain accurate company information including certifications, licenses, user access, renewals, and compliance tracking.
  • Coordinate the end-to-end bid process: organize tender documents, plan submission timelines, manage internal inputs, track clarifications, prepare checklists, assure formatting quality, upload submissions, and confirm successful delivery.
  • Keep a centralized library of company documents such as profiles, presentations, CVs, credentials, commercial registrations, VAT certificates, ZATCA documents, ISO certifications, and compliance policies, ensuring they are up to date and accessible.
  • Generate periodic reports detailing opportunities, active bids, deadlines, outcomes, win/loss ratios, upcoming renewals, and registration statuses.

Required Qualifications and Experience

  • Experience assisting with tenders, proposals, or procurement activities.
  • Strong organizational and project coordination capabilities.
  • Keen eye for detail with the ability to manage multiple deadlines.
  • Proficiency in both written English and Arabic.
  • Advanced skills in Microsoft Office.
  • Experience using procurement portals or supplier registration systems.

Preferred Qualifications

  • Familiarity with Etimad or other major Saudi procurement platforms.
  • Knowledge of SAP Ariba, Oracle, Coupa, or Jaggaer platforms.
  • Background in supporting consulting, marketing, events, or professional services sectors.

Compensation and Benefits

  • Competitive salary package
  • Annual discretionary company bonus up to 8% (3% company-wide, 5% individual)
  • 33 days of annual leave plus public holidays, prorated
  • Working hours from 09:00 to 17:30 Sunday to Thursday with an hour for lunch between 12:00 and 14:00
